Planning an event or conference is hard enough. Last minute calls to find extra tables and replace broken chairs leave little time for you and your staff to prepare as guests rush in on event day. Attempting to collect attendees’ names and arrival times on piles of disordered sign-in sheets generally becomes an ineffective exercise that results in a clutter of false information and indistinguishable handwriting. Not to mention, all of the problems that come along with trying to secure guests’ personal information when it’s scattered throughout tables and assessable to anyone nearby. The overwhelming potential for complications leaves organizers wishing for some imaginary technical system that always seems to exist in exciting, futuristic movies. A training company that invites over 20,000 guests to its annual events brought these concerns to InfiniEDGE. This company left InfiniEDGE with a savvy solution that not only revamped their method of event tracking, but also proved that with enough expertise, sometimes you can believe what you see in the movies.

InfiniEDGE created a mobile application allowing this client to securely get information from guests in a fraction of the time, with a fraction of the headaches both during and after events. Each conference badge the company issues upon check in at events is now printed with a unique barcode. As attendees walk into events, on-site staff can simply aim a handheld scanner at their badges, which prompts a light sensor to read and decipher information. This information is automatically sent and saved to an onsite wireless system. After the conclusion of events, the handheld units are brought back to the company’s central office and synched with the main system allowing users to verify each individual’s presence at different sessions.

The proactive team at InfiniEDGE assured the benefits didn’t stop there. More accurately described as an accessory than an article of equipment, mini printers, attachable to staff’s waistbands, utilize a wireless connection to process and print data from the scanners. This makes it possible to give each guest a personal receipt as a record of what conference they attended and what time they arrived. In addition, guests can also be scanned and given a receipt with a record of departure times. This feature is sure to remedy interruptions as attendees are less likely to leave sessions early. InfiniEDGE’s ingenuity allowed this training company to more safely and successfully acquire important information from guests that created several future opportunities for the company. The client now has instant access to the information necessary to send updates and promotions to guests even after the conclusion of events and can determine which classes and speakers were most popular using organized attendance records.
